
About the Role
This is a high-trust, high-impact role supporting a senior executive at C-Suite level. You will act as the executive's primary point of coordination, managing their time, communications, and strategic priorities with discretion, accuracy, and professionalism. The ideal candidate is a proactive, highly organised professional who can anticipate needs, think two steps ahead, and operate with a high degree of autonomy in a fast-paced corporate environment.
Key Responsibilities:
Manage and optimise the executive's diary, calendar, and scheduling across multiple time zones.
Coordinate and prepare materials for board meetings, executive briefings, and presentations.
Act as the primary liaison between the executive and internal/external stakeholders.
Track action items, deadlines, and deliverables arising from executive meetings.
Oversee office administration, expense management, and budget reconciliation for the executive.
Coordinate with department heads and senior leadership on behalf of the executive.
Screen, prioritise, and draft correspondence including emails, memos, and reports on behalf of the executive.
Arrange domestic and international travel, including flights, accommodation, visas, and detailed itineraries.
Manage confidential information with the highest level of discretion and integrity.
Conduct research, compile data, and produce briefing documents as required.
Handle ad hoc projects and personal matters as delegated by the executive.
Maintain organised filing systems for contracts, legal documents, and strategic records
Requirements
ESSENTIAL
Minimum 3–5 years' experience as an Executive Assistant supporting C-Suite or senior management
Relevant tertiary qualification in Office Administration, Business Management, or equivalent
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Exceptional written and verbal communication skills in English
Proven ability to manage complex calendars and coordinate across multiple stakeholders
High degree of discretion, confidentiality, and professional maturity
Strong organisational skills with meticulous attention to detail
Experience arranging complex domestic and international travel logistics
ADVANTAGEOUS
Experience supporting executives in a corporate, financial services, or professional services environment
Familiarity with project management tools (Asana, Monday.com, Trello, or similar)
Exposure to board-level governance processes and documentation
Proficiency in a second South African official language
